Lead list segmentation: how to split a list

One message for everyone fits no one. Segments let you write to each group as if you knew them.

Why segment

When everyone in a group shares a situation, your email can describe that situation precisely. "Austin dentists with under 50 reviews" can get an email about review gaps in Austin. A mixed list gets a vague one.

Ways to segment

By niche

Dentists, chiropractors and med spas buy different things and use different words.

By location

City or region lets you mention local details and send in the right time zone.

By size

Review count, followers, subscribers or MRR roughly show size and budget.

By signal

The problem you solve, visible in the data:

  • no website
  • under 4 stars
  • running ads
  • launched recently
  • growing fast

By contactability

Has owner name and email → personal email; email only → company-level email; phone only → call list.

A simple process

  1. Export the full list with the columns you need.
  2. Choose one or two segment dimensions (e.g. niche × signal).
  3. Keep segments big enough to test — a few hundred leads each.
  4. Write one message per segment.
  5. Compare reply rates and keep the best segments.

In Prospect Cheap

Use quick filters and the filter panel to create each segment, then export them one by one. Separate exports keep campaigns clean in Instantly or GoHighLevel.

Don't over-segment

Ten tiny segments are hard to learn from. Start broad, then split the segments that work.

Frequently asked questions

Big enough to learn from — usually a few hundred leads. Smaller segments make results hard to read.
